How we get started - step by step
From first enquiry to first parcel shipped: 1-2 weeks - regardless of the size or volume of your business. First we test the integration between your system and ours - without real parcels. Once we're sure orders come in correctly, we start execution from an order number agreed with you. From that point on every next order is handled by us.

We know that switching fulfillment partners is a risky decision - your stock is your asset. That's why our whole onboarding is structured, documented, and at every stage you know what comes next. No surprises. No hidden fees. This process is part of our fulfillment service for online stores.

Get in touch
Send us an enquiry at office@bigarena.net or call 0877 777 919. You'll get a professional consultation and answers to every question about our services. Usually the first meeting happens within the business day - we discuss your business, order volume, category and geographic market.
Tailored plan and quote
If our services fit your business, we'll build a tailored plan for your specific needs. It includes: choice of warehouse(s), reserved space volume, couriers, pick/pack price, monthly fee. We send you the quote within 1-2 business days.
Contract and BigArena onboarding
We sign a contract (BG or EN). We create your BigArena account. We run 2-4 hours of training with your team (online or on-site). We connect your online store (Shopify, WooCommerce, Magento etc.) - usually 2-10 hours depending on the platform.
Shipping stock to the warehouse
You create an incoming shipment in BigArena - tell us what's coming (SKU, quantities, batches). You ship the goods (usually with our recommended carriers for the best price). We receive, scan and book them in - with a full report for you.
Integration check
We check that orders flow correctly from your site into our system - without sending real parcels. We test statuses, fields, addresses, automatic courier selection. Takes about 1 business hour. If you see something to fix, we react right away - no risk to your parcels.
Go live
After the tests pass we start executing all new orders - from an order number agreed between us onwards. Our customer team is with you daily during the first week, so we react quickly to any question or unusual situation. After that we move into normal working mode.

Is there an onboarding fee or hidden costs?
No - onboarding, integrations, training and our customer team are included free. You only pay for the logistics you actually use: storage space (m²/pallet/month), processed orders (per pick), packing (per material), couriers (at our preferential rates).
What determines how fast the launch goes?
Our process is standardised 1-2 weeks for every customer, regardless of volume, number of SKUs or integration complexity. The only thing that can extend it: if you yourself aren't ready to ship stock to the warehouse or don't have final SKU data. When working in several countries at once we run several teams in parallel - the deadline doesn't stretch.
What happens if I'm not happy after launch?
The contract has a termination clause - 30 days' notice. We help you move stock to a new partner without lock-ins. It costs you nothing to leave. In 10 years we've had under 3% of customers churn - usually because they closed the business, not because of us.
Will you help me migrate from another fulfillment partner?
Yes - it's one of the things we do most often. We help with: (1) organising the physical stock transfer, (2) syncing the data (item catalog, product photos, batches), (3) running both partners in parallel for a week so orders aren't interrupted, (4) a public message to your customers if needed.
Who guides me through the launch?
One dedicated manager from our customer team plus an onboarding specialist. Not rotating operators. One contact from start to finish. After launch you keep working with the same dedicated manager.
You choose how we execute your orders
You aren't tied to one single model. Depending on your business you choose the way each new order reaches our warehouse. You can switch between modes at any time, without interrupting current orders.
Automatic execution
The order flows from your site straight into our system - we pack it and hand it to the courier right away. The fastest option; a fit for stores with a smooth order flow and no need for manual review.
Manual confirmation
Every new order arrives with a status of "awaiting confirmation". We don't process it until you approve it through your system. Full control in your hands - a fit for brands that confirm every order (for example with a phone call).
Buffer window for edits
Every new order is held for a period you set (e.g. 30 minutes, 1 hour, 2 hours) before we take it for packing. It gives your customer or your call centre time to add, remove or correct an item. After the buffer we execute automatically.
Scheduled execution
You can set a specific future date to fulfil a given order - in 7 days, 15 days, even 3 months out. Our system remembers it; on the fulfilment day the order appears for the warehouse team to process, without you having to remind them.
